From the duty log to time recording: CIBORIUS relies on digital processes in day-to-day security work. That cuts paper consumption, improves data quality and saves time – for more security and efficiency in everyday operations.

Digitalisation in security services: efficient, sustainable, forward-looking
At CIBORIUS, digitalisation is not a trend but everyday practice. More than 85 per cent of our internal and external processes are already digital – a milestone that not only raises efficiency but also reduces our environmental footprint.
Why digital?

Paper forms and manual processes used to dominate the working day. Today we rely on digital workflows that are structured, documented and traceable at any time. Our aim: minimise paper consumption, eliminate sources of error and speed up processes.
Our digital solutions at a glance:
- Duty log: Handwritten entries have been replaced by an electronic duty log that is stored centrally and can be evaluated across all sites.
- Time recording: Paper timesheets are a thing of the past. Staff now record their hours digitally via app and terminal, transmitted in real time.
- Complaint management: Paper forms and email chains have been replaced by a central online ticket system that allows efficient follow-up.
- Customer feedback: Instead of Excel lists or completed feedback forms, ratings are now submitted digitally through our customer portal and evaluated automatically.
- Issue receipts (for equipment, for example): Signed paper forms have been replaced by digital receipts in the CQC, with user login and time stamp.
- Briefings and tests: Printouts and manual returns have been replaced by online tests with automated evaluation and digital proof of completion.
- Recruitment tests and application procedures: Handwritten documents and physical files have been replaced by digital applicant management including e-signature and electronic records.
- Handouts and training material: Printed material has been replaced by content available online in our media library, with version control.
- Quality management: Folders and paper records have been replaced by a fully digital system that implements ISO, DIN and audit requirements with system support.
A changing customer experience
Some of our clients who originally worked exclusively with paper forms were sceptical at first. With targeted training, a hands-on introduction and stable systems, we were able to see the change through here as well. Today these partners benefit from considerably simpler processes, a better overview and time saved.
The next milestone: 95 per cent digital by 2026
Our goal is to reach a level of at least 95 per cent digitalisation by the end of 2026. We are currently reviewing further sub-processes for their digital potential – for instance the last remaining quality management documents and residual processes in HR.
